Know Your Travel Plan

Your campus advisor or delegation leader will likely coordinate many of the travel details, your job is to know the plan before you go!

Before conference week, make sure you know:

  • When and where your delegation is meeting to depart

  • Your flight or driving schedule

  • Where you’re staying

  • How your group is getting to and from the hotel

  • Who you’re rooming with

  • Your plan for returning home

  • Who to contact if something changes while you’re traveling

Save the important details and your delegation leader’s contact information in your phone before you leave. That way, you’ll know exactly where to be, when to be there, and who to contact if you need help.

Your phone is about to become one of your most important conference tools. Before arriving, download the AFLV conference app and create your profile. Once the schedule is available, use it to:

  • Explore educational sessions

  • Build your personal schedule

  • Find session and event locations

  • Learn more about speakers and exhibitors

  • Receive important conference updates and push notifications

  • Connect with other attendees

Don’t wait until you arrive to start exploring. Spend some time looking through the schedule with your delegation and identify sessions that connect with your role, goals, and campus community.

What Should I Pack?

A little planning goes a long way! AFLV conference days include educational sessions, large-group experiences, meals, networking, special events, and plenty of walking. Pack clothes that help you feel comfortable and confident throughout the experience.

👕 Council apparel, letters, or campus gear
Bring something that represents your organization, council, or campus.

👔 Business casual attire
Plan for educational sessions, networking, and other daytime conference activities.

Banquet or special-event attire
Check your conference schedule for any events where elevated attire is encouraged.

👟 Comfortable shoes
Seriously. You’ll be moving throughout the conference, so this is not the weekend to break in a new pair.

🏃 Workout clothes
Planning to join Wake Up & Work Out? Pack accordingly!

🪪 Photo ID + payment method
Bring your ID, cards, and some cash just in case.

📝 Something for your ideas
Bring a journal, notebook, laptop, or notes app so great ideas don't disappear before you get home.

🔋 Phone charger or portable battery
Between the conference app, photos, messages, and social media, your phone will get plenty of use.

Make a Conference Game Plan

For many students, this will be your first AFLV experience, and you don’t need to have it all figured out before you arrive!

With thousands of students and professionals, dozens of sessions, and plenty happening throughout the conference, the best plan is to come ready to explore, connect, and try something new.

A few tips to make the most of your experience:

  • Set a few goals. What do you and your delegation want to learn, explore, or bring back to campus?

  • Divide and conquer. You don’t all need to attend the same sessions! Spread out, explore different topics, and bring your best ideas back to the group.

  • Meet someone new. Sit next to someone from another campus, introduce yourself, and ask what they’re working on. Some of the best AFLV learning happens between sessions.

  • Ask questions. Speakers, volunteers, partners, campus professionals, and Team AFLV are here to help you learn…take advantage of it!

  • Make time to reconnect. Find a few moments throughout the conference to check in with your delegation and share what you’re learning.

  • Take care of yourself. Conference days are full. Eat, hydrate, rest, and recharge when you need to.

  • Think about what comes next. Keep track of the ideas you want to bring home and how you can turn what you learn into action on your campus.

Be present, meet some new people, learn something you can use, and leave ready to bring it back to your community.
